HELP I have disabled online booking as I cannot accommodate any more new clients, but people are still able to create new profiles from the sign in page. Does anyone know how to stop this please?
I can’t find this Jane/Mailchimp answer. When a previously opted out guest agrees to now opt into emails, do we have to manually add their email back into Mailchimp?

I hope I can explain this accurately- every time I travel, I’m using a device I don’t typically use with Jane and I can’t get logged into my site as an admin/owner. Even with “clinicname.Janeapp.com/admin”, it removes the “admin” and tries to get me to login as a patient. Very frustrating. What am I doing wrong?
Tip: Learn from my mistake. If you have people on a membership, do not add a default adjustment to their profile! Even if they are a "wellness" patient for example. They will get that adjustment to their monthly payment. I am out around $1000 over the past year because I didn't realize it was happening. Thankfully it was only a handful of practice members, but still VERY frustrating.
If I'm opening a new (but completely separate) office, is there any way to get a duplicate account of Jane with all of the same settings/templates, etc?

Good afternoon, Our company just started using Jane in January. We are having a hard time figuring out why the compensation report by providers is not equivalent to the compensation report for the clinic. When we break it down by provider and add the totals it is missing quite a big chunk of funds compared to the compensation report for the clinic for the month.

Does anyone have any tips for setting up online bookings for in-person group sessions? I have online booking enabled for both the staff member and the session itself but it's still not showing up in our online booking schedule. I searched through Jane's help section and all I found were articles about online group bookings. AI wasn't any help either. Any help would be greatly appreciated!

When charting, I do not have the lock icon show up on my appointment to show that I’ve started a draft or that I’ve signed off on one. Can someone help me figure out why and how to fix it? It’s nice to see which appointments you’ve already charted on. Thanks

US Insurance Question: Working on claim submissions today and both our admin and front desk account are missing the "Original / Resubmission" drop down box and "Claim Control #" selection criteria (picture included from Jane Guide of what's missing and where our claims stop). This appears to be true across multiple payers, providers, and appointment types.

Hi all… im just getting started with Jane and im wondering if theres an option for a tentative acceptance of an online booking? For context I am an RN injector and I have a medical director that is required to meet with my clients virtually before i can initiate treatment (we don’t do GFE here). So i need to be able to check her schedule availability before i can definitively accept a booking. I want to make it as convenient as possible for clients but is Jane online booking all or none?

Hey everyone. So I asked a question about this already but there is still something Im not getting. I created a ressource list and also an intake questionnaire. I created that in Staff-Template. I know I can add those two to my client file but I have more than 40 ongoing clients. I can't believe I'll have to go in each individual file to send them those two forms?? We are having an issue with our therapists not being able to use the #cpt or #icd10 codes in their charts to input the billing information for the appointments. The charts are linked to the appointments, but it just doesn’t bring up the list for them when they use the # and begin to type the codes. It does work for me when I do it in my charts as the admin/therapist. Anyone else had this issue? Suggestions to fix?
In doing my taxes, I have a fairly sizeable discrepancy in what Jane says my income was, over my actual bank statements. Jane is showing much less income. Has anyone had this happen? I am wondering if something may be wrong in a setting.

I love that we can require a credit card for booking, and I haven't had a new patient no-show since implementing this. I have mine set up to be mandatory to book the first appointment online. The issue often revolves around insurance complications; they believed it would be covered and visited us, but it wasn't. I cannot figure out how to add a break when I'm accessing Jane from my phone. The mug icon is not there. Am I missing something?
Ive been in business 17 years and we are having major problems with no shows and last minute cancelations. For example, 2 Saturdays of the same month we had 6 for that day! We are implementing a NSNC fee and policy. Help me understand! . This is our "test patient" (Testy Testerson lol). Testy has a balance owing of $220. When he receives a "Pay Balance" email, and clicks on "Pay", he sees a message saying "Your account is fully paid." Same occurs if Testy logs into his Jane account directly, and clicks "Pay Balance."
When trying to submit Medicare claims through office ally from Jane I am getting an error stating “paper claims are no longer accepted” even though I am enrolled in EDI for Medicare and never had a problem when submitting through Chirotouch. Does anyone know how to resolve this issue?

Jane Newbie here! Help! I am a small med spa, but I have about 1000 patients. One of the things that drew me to Jane was the ability to send all forms/consents prior to appts to help save time. I have diligently been working on getting everything into the system, but I think I am confusing myself on the "intake forms" vs. "clinical survey".
Re: changing my rates at a certain date in the future. How do I reflect this in the online now for people who are scheduling past that date with the new rates?

For the last couple of weeks, my clients are facing voice echo issues (their voice echoes when they speak) in session and then I’d have to use another platform (sessions by PT) and it works perfectly fine. Has this happened to someone else?
So here's a small question I've been idly curious about - is there a way to see the client #'s of the merged (and now available numbers?) clients? As in, client is assigned #3 & #4, yet after merging, now #3 is available to be used? I tend to like to use up every number (probably just me), plus does it factor into the Jane statistics, come to think of it? Just curious.

Anyone else do case fees (say a billing for $3500). I'd like to be able to make that customizable based on the patient. We have created multiple products, but a specific price has to be attached. However, if you go into the invoice to change the cost, if you wish to add a pre-pay discount or any other discount, it reverts back to the original price and is very frustrating.

I recently have added the Jane terminal. I can see the 10 cent charges for debit on Jane Payments Transaction under Reports, but when I check the therapists Compensation Report, it does not show 10 cents/transaction under their Fees. Each therapist is responsible for the fees of their transactions. Have a missed something in setting this up?

Has anyone found a way around team members creating a bunch of un-usable tags? We have a set number of tags that we use for shifts, but sometimes clinicians type their own in which results in clients not being able to book because they don't notice they aren't using the "official" tag. Those that have a clinic and the front desk checks people in… how do you know who has a co pay for the front desk to collect for the patient? Right now I am solo so I can keep tabs on all my patients and know who owes a co pay. But how do people in the clinic do it ? Chiros that use Claim MD for medicare submissions. Has anyone had trouble linking their medicare info to claim MD account? I have tried numerous combinations of my PTAN # and NPI #(including personal PTAN/NPI and business PTAN/NPI) but Medicare keeps denying them.

Medicare workflow-- when you have a new DOI. Do you have to create an entirely new "policy"? If you edit the existing policy, it changes the DOI for all the prior appointments. If I make a new policy, will it save the date of initial appointment? How do I do this efficiently?

I think its been asked and is being worked on (Although i cant find it in feature requests) but is there a timeline for when we’ll be able to give providers permission to add their own billing/dx codes without having access to all billing? Having to do this for 15 providers eats up so much admin time and mistakes are happening much more frequently then when we had another EHR that allowed this.
For anyone that does packages and uses superbills. PLEASE UPVOTE this on Jane so that we can be able to allow patients to pay in installments. I don't know if anyone else is frustrated with having to make mini packages, but it seems more of a headache to do these extra steps, and for us messes up our superbills.
I noticed a 2023 year end round up in the drop down on the right upper corner of Jane, which is showing up for all my practitioners, though not when I'm signed in (owner, not practitioner). This shows them how many discrete appointments they provided in the previous year. How can I access this "number of appointments" data? I can find monetary totals, but I don't see where to tally the number of appointments by practitioner.

So ive been trying to search these things like i normally do in the help section of jane but it’s all different now and it’s not great.
Does anyone have a problem where the dx codes are being reordered by Jane? I usually put the most significant dx first and medicare requires a subluxation code first then the diagnosis. I used to duplicate notes and the codes and order would be the same. I noticed that the codes are being reordered since November. I would have to manually move them to the correct order.
I know some of you are using that 3rd party (can't remember the name of it) for secure messaging, etc. The cost of integrating that 3rd party seems really high. Those of you who are familiar with it, can you see it being beneficial for a sole practice?

Hey Chiros anyone else getting this glitch: when I copy previous insurance billing info to new visits, my 98941s are presenting with the number 98943 but the appropriate description for 98941. Not sure if this will translate to billing and give me a headache in a few weeks. Just noticed this yesterday.
I'm prepping for taxes and noticed that several invoice numbers are missing. For example, the billing reports will show details for invoice #1305 and then the next invoice created will be #1307. But no invoice #1306.

When a pt has Medicare primary and tricare secondary. I put in the 20% copay under the Medicare but then don’t put anything under the tricare part. Is that correct? And I don’t understand why it is putting in to bill Medicare the full amount and tricare the full amount. Shouldn’t it be Medicare full amount and then the 20% to tricare?

Is there any way to charge a deposit when manually booking a new client? I am collecting CC when booking clients but I just love when they give me a card with insufficient funds. Our pediatric therapy clinic has a policy that states a client can reschedule an appointment only once. To restate: Initial appointments can be rebooked once without incurring a fee. Our clinical team is having a hard time tracking these. Any suggestions?

I have just been creating a new product each time basically, specific to them, but that is getting really annoying. Is there a better/less annoying way to do this?
On the dashboard, there are various metrics. Last seven days, last 30 days, last 90 days, last 365 days. But I don’t see a way of looking at this week alone or this month alone. I’m not interested in seeing the middle of the week to the middle of next week. Do you know if there’s a way of looking at those metrics on the dashboard or do I need to go to a specific report?

I am looking for some help. I own an IV hydration business. I have hired a nurse and created her new staff profile. I want her to be able to book appointments, chart patients, and collect payments. I don't want my staff to have access to any of Jane's financial reports for my business. It seems this doesn't exist in the staff section. Maybe I am reading my options wrong.

Whilst I need to keep their original medical notes under their original (female) name, do I now register their new non-binary name under 'preferred name' and if so, do their reminders subsequently go out as their 'preferred name' or their original 'first name'? Is anyone a sole provider with just one NPI, an individual and not a group trying to bill Triwest with EDI files? I would love to know how you worked around the NPI issue that I seem to keep getting - rejected files due to NPI Billing matching the Rendering, and there is no way for me to not include a rendering NPI through the Staff Billing settings. Hello all! For those who use a chromebook for patients to use for filling out their intake forms, did you create a second google account for this purpose to keep you own info private? I know jane has a guest mode for filling out the intake, but not sure if google does, or if I have to create a second account. Internet search is not giving me a definite answer on this. Hello! Canadian PT clinic here. I changed my rates for 2024 and just happened to check my schedules for Dec 2023…and they had all 2024 rates. As this messes with accurate sales / compensation numbers I was quite surprised. Am I missing something? Is there a way to “close off” a date range for rates? I found a work around, but it’s a pain. First let me say I love most things about Jane but does anyone else dislike the way it amends a note? Is there a better way to edit a mistake as simple as a grammatical or spelling error? I understand it needs to be documented somehow that it was altered after being signed but it makes for a redundant and ugly note if you go back to fix something.
I currently have 90 min appointment options that I am discontinuing in March. I want to take them off the online booking option BUT want the current people who are booked in for a 90 to still be able to reschedule before March if needed via the online schedule. How should I reflect this? Different shifts starting in March without 90 being an option?

Hey everyone. So one of my clients canceled her appointment last minute today so I charged her the "no show" fees and produced an 'administrative fees' receipt. However, she changed her mind and was able to come. How do I change the status of the client to "Arrived" in order to reproduce a proper receipt for psychotherapy charges in order for her to get reimbursed by insurance??? Thx

Hi all! If I want to change ICD10 codes for a Medicare patient for 2 or more previous visits, is there a way to change it once and apply to multiple visits? Or do I need to go in and change each visit? FYI: We switched to JANE in Oct and I do not have all the codes quite right for Medicare HCFAs and we want to bill out soon, so trying to double check these and fix as needed but without editing each individual visit. Any way to change the wording on the email that is sent when a wait list appointment is sent? Patients think that the appointment date/time is reserved for them when they have to log into their account and click and select it. Hello, Multidisciplinary clinic owner in Canada (ON)- how do you set up charts visibility for your providers? Especially, if not all of them are registered health providers?
When using treatment plans, and setting the number of appointments, when I put items in there, I may have an exam that I did on the same day as a treatment, and those are two separate notes. The system counts that as two separate items, and not as one appointment. Am I doing something wrong?

Hey! Wonder if anyone has had this issue: Jane messages are not getting through to the client even though they were a year ago with same email. Now all email messages say “complaint” instead of “sent” or “delivered” I can’t even send the verify email message because it won’t send, can’t send invoice, reminders etc. Client’s email works fine otherwise is just with Jane. Re Insurance Policies that are in the “Awaiting Review” state (after patients complete Intake Forms and submit insurance info) …. Is there a way to be notified each time a policy has been patient-created and in need of review? I can’t find a report that could be run to provide this and the “Insurance Policy” report can’t be filtered by “Status” (unless exported and sorted, which is not difficult, but rather inefficient as a way of determining *if* one needs review). For the stripe users- Is there a way to prevent admin staff from using Stripe as a payment option? We do not store credit cards on file unless a patient has set up Stripe payments on their Jane account. This really only occurs if someone pays a deposit when making a new patient booking online. Hi there! Need help with SOAP notes from Vagaro. Background: Used Jane for a chiropractic practice for quite some time and LOVE it! We are in the process of integrating a massage practice that uses Vagaro. We’ve imported the patient files, appointments, appointment history, treatments, staff profiles from Vagaro to Jane. The goal is to eventually phase out of Vagaro and use Jane exclusively for the combined chiropractic and massage practice.

I am having trouble getting my place ID (PID) to work to ask for the Google review in Jane. I found the PID but it links to an error page on Google when previewed. Additionally, my google business page is verified and active, but my clinic name doesn’t populate in the search field under the Jane Ratings section. Anyone have any tips?

Question regarding canceling an appointment - so how does this "other" reason work? I typed in "snow day" as the reason, as it's pretty bad out there. However, this doesn't go out to the client. And doesn't even save anywhere in the system. How is it supposed to work and be saved on the file?
I sometimes need patients to upload document like path reports etc and also send me photos (I’m dermatology). I don’t see this as an option in Jane. Has anyone figured out a work around?
Jane app developers, please for 2024 develop a way for the online booking to be able to shut off at a certain cap for the day (say 90% filled it turns off). Patients love the online booking but our staff can't keep up much longer with the booking filling the schedule almost every day. It's a good problem to have but the auto shut off would help, or even have a contact to book option without times listed. Signed two burnt out docs.
Is there anything in the works for variable times for appointments? Our sessions list is so long because every type of appointment we have has increments of 15 minutes. I would LOVE it if I could designate how long the session is when I am booking the appointment. Sometimes we do therapy for 30 minutes, sometimes its a two hour session. Why isnt the waistlist notifying all the people on the wait list? I’ve done a fake cancellation to trigger the waitlist and it’s only sending a notification to one of the three people on the list and they’re all listed for the same amount of time for the same type of appointment .

I work with couples and use the Add a Relationship feature to ensure that they both get notifications of session bookings etc. But one client says that although he gets the emails he does not get the texts even though he has selected this option for notifications when his partner books a session for them. I processed a client’s payment transaction and the invoice was emailed to them and now they are asking if I can change the name on the invoice so they can use their partners benefit package to get reimbursed. I have this annoying thing happening when I use Jane and I'm trying to figure out if it's a my laptop issue or a software glitch.
I'm wondering how others do this. I direct bill NIHB and another private pay provider. Is there a way to separate NIHB and client pay appointments. Example, a client has NIHB AND private insurance. When their NIHB is used up they switch to their private pay. It sometimes gets confusing to know which is which. When I worked in dentistry many moons ago the software would put "assignment" billing into a different column than the private pay. Hope this makes sense...

Has anyone else noticed that your chart notes are not getting saved sometimes ? I normally type on my phone when in the treatment room and continue on my desktop later. But, lately, a few times nothing got saved in either place and I had to retype everything. It is very annoying, especially with new assessments when you have gathered all the subjective info.
Has anyone ever had a chart entry show as post dated before client was in ? I had a patient in on January 6th and her follow up was on Jan 12th . I did her chart entry on the 12th . Normally when I do a chart it defaults to the date I am doing the chart entry but I noticed after it future dated to the next day
Regarding Forms - When I have a prenatal patient they receive a general intake form and a separate prenatal form. When the patient receives this in their email bot forms look exactly the same and simply say 'Intake Form' so often times the patient only completes one of the forms and then we have to take time for the second to be completed in the office. Is there any way to change what appears in the emails that the patient receives?
I have just brought on multiple staff who each offer services at different price points. I set up their sessions offered under the shared sessions. Is there way besides setting up adjustments for each staff to change the price points for each staff?

Hi. I like that we can do online booking. The service is a good one for patients. However, as we all know, it creates lack of control when we want to cluster book. I may see 12 to 15 people in a condensed time 4-5. Then someone books online at 2 with a big gap. Therefore, did you find a way to minimize that. For example, letting new patients book online. Has anyone sent out a cancelation policy when patients are booked? If they do not fill out the intake form consenting to the cancelation policy with a credit card on file has anyone received payment from them?? Or a patient could say I didn't know about late cancelation. Because they didn't do the intake form. Have clinics made a note in their welcome email that states the cancelation policy to cover the clinic so you know the patient was aware if they open that email?

For medicare should i have the box clicked that says treat CPT units as separate line items? Also, everytime I put in the payer id I save it. Then if I go back in to look at it through editing there is no payor id.

Hi..I’m having trouble figuring out how to block one of our providers from any new patient consults/appts, yet still allow her current caseload to book their appointments. We’re trying to push all new patients to our new hires.
I have been hesitant to not use Jane payments because our current credit card system is significantly cheaper. However, this means that we cannot ask for credit card numbers on the intake form we send through Jane (jane blurs the numbers out as a security feature). We send out monthly statements for the previous month. Can someone clarify, if you make a child profile and attach their parents profile to it and grant all the privileges to schedule, fill out paperwork, receive notifications. But you don't input the parent's phone number or email, shouldn't they receive notifications anyways because their profiles are linked? A single link used to work well when both parents were signing in from different locations and devices. In the last few weeks, I’ve run into technical issues. Only one parent is able to sign in and the other won’t connect to video or audio. I’m wondering if the new group call feature is necessary for me to add-on? I hope I can explain this accurately- every time I travel, I’m using a device I don’t typically use with Jane and I can’t get logged into my site as an admin/owner. Even with “clinicname.Janeapp.com/admin”, it removes the “admin” and tries to get me to login as a patient. Very frustrating. What am I doing wrong?

Tip: Learn from my mistake. If you have people on a membership, do not add a default adjustment to their profile! Even if they are a "wellness" patient for example. They will get that adjustment to their monthly payment. I am out around $1000 over the past year because I didn't realize it was happening. Thankfully it was only a handful of practice members, but still VERY frustrating.
Yes. The adjustments are a pain that you can’t make something exempt. We don’t give adjustments on shipping charges or tests and I have to trust thst my staff will go in and delete the adjustment.

Good afternoon, Our company just started using Jane in January. We are having a hard time figuring out why the compensation report by providers is not equivalent to the compensation report for the clinic. When we break it down by provider and add the totals it is missing quite a big chunk of funds compared to the compensation report for the clinic for the month.
We can't use the compensation report for practitioners, it's never correct. I think it is because it only includes appointments booked and paid within the time frame you select, so if clients pay late or early or if an outstanding balance gets paid, it doesn't include it.
If you change to accrual rather than cash in the compensation it will show the total value of services provided in the time period rather than just the cash collected (or invoices settled). Does that help?

The only way I can see around this problem is to make a filter in the inbox of the practitioner to send a copy of the email to the practitioner or vice versa (emails go to clinic manager but are cc’d by email filter to practitioner)
Hmm. Must be this cold/covid thing I have going on. I can't figure out how to create 15 minute breaks. When I click on breaks, it's in 30 minute intervals.
You should be able to click on it, and then click and drag the start and end times? Or click into it and manually choose the start and end times on the right?
There's a setting when you set up your schedule for booking increments. I bet yours is set to 30. You can change to 15

I have online booking enabled for both the staff member and the session itself but it's still not showing up in our online booking schedule. I don't know why but we've run into issues when we have groups set up as a practitioner-specific service rather than a discipline-specific service and it not showing up for online bookings unless it's disciple-specific, maybe try changing that?
Make sure the shift and session is set for online. Is it a group or a class? Confirm the staff is assigned to the session. Then ensure the staff profile is on the right discipline and that the specific session is toggled on in their staff profile.… See more

When charting, I do not have the lock icon show up on my appointment to show that I’ve started a draft or that I’ve signed off on one. Can someone help me figure out why and how to fix it? It’s nice to see which appointments you’ve already charted on. Thanks
You can only see the symbol on the Day view and a chart must be attached to that appointment.

US Insurance Question: Working on claim submissions today and both our admin and front desk account are missing the "Original / Resubmission" drop down box and "Claim Control #" selection criteria (picture included from Jane Guide of what's missing and where our claims stop). This appears to be true across multiple payers, providers, and appointment types.

For context I am an RN injector and I have a medical director that is required to meet with my clients virtually before i can initiate treatment (we don’t do GFE here). Hey everyone. So I asked a question about this already but there is still something Im not getting. I created a ressource list and also an intake questionnaire. I created that in Staff-Template. I know I can add those two to my client file but I have more than 40 ongoing clients. I can't believe I'll have to go in each individual file to send them those two forms?? How can I send those in bulk ? Thanks
in the intake first page (to make/edit), you can make it so everyone who never filled it out have it sent (or after a certain period of time) .
Create it in in the Forms/Surveys section rather than in the staff profile - you can probably cut & paste your existing document. You will be able to set parameters to automatically send it.
We are having an issue with our therapists not being able to use the #cpt or #icd10 codes in their charts to input the billing information for the appointments. The charts are linked to the appointments, but it just doesn’t bring up the list for them when they use the # and begin to type the codes. It does work for me when I do it in my charts as the admin/therapist. Anyone else had this issue? Suggestions to fix?

I believe this has to do with permissions. We had to give billing permissions to the therapists for them to select the # codes in the charts.
In doing my taxes, I have a fairly sizeable discrepancy in what Jane says my income was, over my actual bank statements. Jane is showing much less income. Has anyone had this happen? I am wondering if something may be wrong in a setting.

My guess is if you are running reports on earned vs cash. If you have been paid say the week of Jan 1st for work performed but not yet collected the last week of December, what is in the bank and what is in Jane may not match.

I love that we can require a credit card for booking, and I haven't had a new patient no-show since implementing this. I have mine set up to be mandatory to book the first appointment online. I have an issue though, because I offer a free 15 minute phone consult that new patients can book themselves online- and now this appointment requires a credit card to book, making it not feel so free anymore! I was able to remove the card requirement for 15min phone call. Maybe check the settings specifically for the free call and adjust the price to 0?
Yes, this is definitely a pain point for our clinic. For example, we’d like certain types of appointments to require a deposit or payment and others not to.

They integrate with mail chimp but that’s about it! I don’t believe they’ve made any updates regarding email marketing + Jane.
Email host/providers now require for the receiver to opt in with time stamp. We haven’t been able to upload from Jane in over a year which is a HUGE bummer. Creates so many steps for our clients if we ask them to opt in a different way. Hate how clunky this is.

Just an FYI, those pretty, formatted emails with graphics and pictures are WAY more likely to be filtered into spam folders. Outside of a header/logo, you really don’t want too much formatting.
For most individuals, the built in Windows Defender on a windows computer is more than adequate to protect your computer. (Mac also is decently well protected)

Set up packages in settings. You can also take cash payments and mark it as such when you do check out. I’m sure there’s a video for that.

Ohhh, this part is so frustrating! It's ONLY on the "Day" tab, but not the "Schedule" tab.
This is frustrating because when you switch to 'day' on a phone it starts with today. If you want to.add a break in 3 months you have to scroll through each day to get there. Has anyone found a better path for this?
Ive been in business 17 years and we are having major problems with no shows and last minute cancelations. For example, 2 Saturdays of the same month we had 6 for that day! We have had a cc on file policy for 12 years. Back then people thought it was crazy, but now…we were the smart ones! We have made it a continued and enforced practice.

Help me understand! . This is our "test patient" (Testy Testerson lol). Testy has a balance owing of $220. When he receives a "Pay Balance" email, and clicks on "Pay", he sees a message saying "Your account is fully paid." Same occurs if Testy logs into his Jane account directly, and clicks "Pay Balance."

I wonder if it's because you have a credit. Obviously the credit isn't enough to satisfy the amount due but maybe it's a system glitch when you have a credit on the account. I would apply the credit and then try it again to see what it says.
When trying to submit Medicare claims through office ally from Jane I am getting an error stating “paper claims are no longer accepted” even though I am enrolled in EDI for Medicare and never had a problem when submitting through Chirotouch. Does anyone know how to resolve this issue?
I’m assuming you enrolled to have your claims go through Office Ally. I would do a live chat with them and find out the problem. Are you billing individual NPI or Group? Make sure box 24J has the right NPI approved too.
I had to reach out to office ally to make sure they were submitting electronically instead of printing. Because even though I was enrolled with Medicare for EDI OA was still printing them.

Jane Newbie here! Help! I am a small med spa, but I have about 1000 patients. One of the things that drew me to Jane was the ability to send all forms/consents prior to appts to help save time. I have diligently been working on getting everything into the system, but I think I am confusing myself on the "intake forms" vs. "clinical survey".
We use the intake form option for new patient paperwork and the surveys for those under care to complete before their follow up. Hope that helps!

I really struggle to add an appointment on the calendar if its a spot that someone else's appointment has been moved out of... when I try to click to add the appointment, it just pulls up the rescheduled appointment. Any tips on a better way to add those new appointments?
Do you have cancelled and rescheduled appointment toggled on? Try toggling them off if you do.
I never have this problem because I hide all my rescheduled/cancelled appointments but if you like to see them in your schedule you could always press "D" for double booking then you can add that new appointment.
Someone from Jane interviewed me on Zoom about aesthetics and I brought the issue about before and after photos. Can something be done with photo documentmentation in Jane to make things easier (so I don’t have to use a separate app for photos)? Is there someone from Jane I can talk to about this?

Yes I have been experiencing the same issue. I am in Canada and not sure if others are USA have the same issue.
So here's a small question I've been idly curious about - is there a way to see the client #'s of the merged (and now available numbers?) clients? As in, client is assigned #3 & #4, yet after merging, now #3 is available to be used? I tend to like to use up every number (probably just me), plus does it factor into the Jane statistics, come to think of it? Just curious.
Once merged that number “lives within” the chosen number. In your case patient #3 will also be #4 and the next new patient entered will be #5, merged numbers are not renewed and able to be “used again”. You can see the merge history in the profile “notes” section.
Actually, I ran into this when setting up automations to deal with data from Jane. I'm not clear on exactly how this works in the backend of Jane, but it seems like patients can get assigned numbers that were previously used.
I know this has been brought up before, but there's not a simple way to search for it. What is the workaround for not having a specific treatment for a specific provider bookable online by a client, but we can do it in house if needed. For example, there are certain treatments I do not want clients to book with me online, but if they are in the clinic, and we have time for the treatment, we can add the treatment to my schedule. I would just set up that treatment for the specific provider but make it not available in online booking.
Anyone else do case fees (say a billing for $3500). I'd like to be able to make that customizable based on the patient. We have created multiple products, but a specific price has to be attached. However, if you go into the invoice to change the cost, if you wish to add a pre-pay discount or any other discount, it reverts back to the original price and is very frustrating.

We sell treatment plans. I create a plan name and a cost of $1. And adjust the cost per the treatment plan.

Unfortunately not but I think there is a feature request for this.
You can easily pull up a report to view outstanding balances. Then email. I would recommend changing the collection system so you don’t have many outstanding balances. I require a cc on file because I don’t have time to follow up with people.
I recently have added the Jane terminal. I can see the 10 cent charges for debit on Jane Payments Transaction under Reports, but when I check the therapists Compensation Report, it does not show 10 cents/transaction under their Fees. Each therapist is responsible for the fees of their transactions. Have a missed something in setting this up?
The $.10 comes off the clients payments to the therapist, if they pay the therapist directly. So when Jane deposits the money into each therapists accounts, it’s minus the Jane fees. Does that answer your question?

We set each referral up as its own insurance policy.
I utilize it for chiropractic wellness. For example if someone wants to come weekly we charge x amount for the membership (discounted rate) and then it’s recurring each month and I don’t have to worry about billing at all

Have you accidentally changed the "zoom in" setting? I keep mine at 10% most of the time.
Is there a trick to run reports to show all staff including inactive? Its a problem running reports when inactive providers don't show in the reports.
I had to go in and mark them as active to get on reports. Then I just go back and deactivate when done.

I just upload documents into the client's chart and make it visible to the client. (Click: New chart entry --> file/image)
You can create a chart template for treatment recommendations and share it to the client via their profile. They’ll then get an email that you’ve shared a document with them, and your logo will show in the email (if you’ve uploaded it to Jane).
Those that have a clinic and the front desk checks people in… how do you know who has a co pay for the front desk to collect for the patient? Right now I am solo so I can keep tabs on all my patients and know who owes a co pay. But how do people in the clinic do it ? Does the front desk person have to arrive the patient then collect co pay? Or when the person comes in they click on them to see?
When you add an insurance policy to a patient's appointment, you can include those details in the insurance policy settings. When you arrive the patient, Jane will calculate the charges automatically.

Sometimes my front office staff can't see uploaded files, even though they have the permissions and uploaded it themselves, but I can. And they'll re-sign in and they are there... I haven't looked into this issue though myself. I should because it is frustrating

Chiros that use Claim MD for medicare submissions. Has anyone had trouble linking their medicare info to claim MD account? I have tried numerous combinations of my PTAN # and NPI #(including personal PTAN/NPI and business PTAN/NPI) but Medicare keeps denying them.

I got mine to go through after doing the claim.md training. Only issue for me is I have “no” for accept assignment and for some reason when it goes to claim.md it switches to “yes”. Claim.md said it’s a Jane issue.

I don’t think there’s an automatic way. I keep the diagnosis codes for that care period started in Notes and then copy/paste it in the invoice before I charge the card on file and email the receipt.

Has anyone had any luck with getting Jane to automatically check the “ok to send marketing email” button, or is everyone having to do it for each patient when they create a profile? A couple months ago, after some back & forth about anti spam laws, I was told by a rep, that they could do it but I would need to send Jane an email requesting it to be done. But now (a different) rep doesn’t know.
Go to your settings and you can opt everyone in yourself it’s super easy to do. Let me know if you want me to write out the steps - I’m away from my computer right now but I can do it when I get back.

Set it up as a group with each participant paying a certain split amount, then you can charge them each an individual fee. That's how we do it.

Medicare workflow-- when you have a new DOI. Do you have to create an entirely new "policy"? If you edit the existing policy, it changes the DOI for all the prior appointments. If I make a new policy, will it save the date of initial appointment? How do I do this efficiently?

I think its been asked and is being worked on (Although i cant find it in feature requests) but is there a timeline for when we’ll be able to give providers permission to add their own billing/dx codes without having access to all billing? Having to do this for 15 providers eats up so much admin time and mistakes are happening much more frequently then when we had another EHR that allowed this.

For anyone that does packages and uses superbills. PLEASE UPVOTE this on Jane so that we can be able to allow patients to pay in installments. I don't know if anyone else is frustrated with having to make mini packages, but it seems more of a headache to do these extra steps, and for us messes up our superbills.
I noticed a 2023 year end round up in the drop down on the right upper corner of Jane, which is showing up for all my practitioners, though not when I'm signed in (owner, not practitioner). This shows them how many discrete appointments they provided in the previous year. How can I access this "number of appointments" data? I can find monetary totals, but I don't see where to tally the number of appointments by practitioner.

Under reports you can run the client retention report, and just choose the date range for the full year. It will tell you how many appts each had as well as how many clients they saw.

You can't do it on the reoccurring- but if their notes are visible to all staff it's easy to switch over.
Does anyone have a problem where the dx codes are being reordered by Jane? I usually put the most significant dx first and medicare requires a subluxation code first then the diagnosis. I used to duplicate notes and the codes and order would be the same. I noticed that the codes are being reordered since November. I would have to manually move them to the correct order.

Hey Chiros anyone else getting this glitch: when I copy previous insurance billing info to new visits, my 98941s are presenting with the number 98943 but the appropriate description for 98941. Not sure if this will translate to billing and give me a headache in a few weeks. Just noticed this yesterday.
I'm prepping for taxes and noticed that several invoice numbers are missing. For example, the billing reports will show details for invoice #1305 and then the next invoice created will be #1307. But no invoice #1306.
Maybe if a few invoices where grouped before submission. That would change/remove the invoice number? Not sure

You absolutely can. You click the arrow next to pay and add click add items. Obviously all of using Jane have to have this option.
The ability for add-on services for clients to schedule themselves during booking would be nice to have. That is a glaring missed feature.

I don’t know the answer to the first part of your question , but we have uploaded our WCB physio reports to Jane and they can be opened up through the appointment screen and filled out in the PDF. Some information is preloaded such as patient name, claim number etc .

Our bookkeeper said Jane wasn’t enough so she integrated it with Quickbooks but that may be practice dependent. It doesn’t track outgoing expenses though so that’s why need QB.
I handle accounting and tax prep for several clients with Jane. I use Quickbooks; however, you also have to be sure you’re using the right reports.
When a pt has Medicare primary and tricare secondary. I put in the 20% copay under the Medicare but then don’t put anything under the tricare part. Is that correct? And I don’t understand why it is putting in to bill Medicare the full amount and tricare the full amount. Shouldn’t it be Medicare full amount and then the 20% to tricare?
If you’re a chiropractor, tricare does not pay for services, I would not put this in.

Is there any way to charge a deposit when manually booking a new client? I am collecting CC when booking clients but I just love when they give me a card with insufficient funds. I book clients manually alot with my marketer and could charge deposits through Stripe, but I'd rather collect it through Jane if I could..
That happens to me a lot, too, the insufficient funds issue.
You should just be able to go to Billing-->Payments-->Receive Payment--> then enter the amount you want and go ahead and charge the card. It will show up as a credit on their account just like someone who has booked online.
Our pediatric therapy clinic has a policy that states a client can reschedule an appointment only once. To restate: Initial appointments can be rebooked once without incurring a fee. Our clinical team is having a hard time tracking these. Any suggestions?
maybe add it to the no show options. ‘initial appt rebook $0’ and then they can filter no shows and see that. it will also show up in appts when filtering no show.

Is there a way to have an item where the price varies? I order blood work for patients often and the price changes depending on what labs we order. I have just been creating a new product each time basically, specific to them, but that is getting really annoying. Is there a better/less annoying way to do this?
Anne here - have you tried adding blood work as a product with a zero amount? You would still have to add the final amount once the client has been arrived, but it's pretty straightforward to add the fee in the invoice
On the dashboard, there are various metrics. Last seven days, last 30 days, last 90 days, last 365 days. But I don’t see a way of looking at this week alone or this month alone. I’m not interested in seeing the middle of the week to the middle of next week. Do you know if there’s a way of looking at those metrics on the dashboard or do I need to go to a specific report?
I think you have to run a report. Would love to see options on the dashboard. Surprised there isn’t a ‘today’ option also.

You can set it to email you each time an appointment is booked.
If the issue is the amount of notice you can set your schedule up to have a buffer time, I.e. you can’t book online within 6 hours of appointment start or whatever you want it to be

Hello! My staff member has "practitioner (limited)" permissions set up in Jane for them to only see their own schedule and client profiles with whom they have had an appointment with. I want to share one client profile with this staff member. Is there a way for me to do so without booking this client an appointment in their calendar?
No. Jane doesn't have individual permissions yet unfortunately. They told us when you book an appt there is a 3 minute window before it gets sent to the client, so you can book an appt so the clinician has access and then delete it, I think.

Yes, we either just rename the account to the parent or make a separate account for the parent and reschedule the appointment under there. And then explain what and why you did so the parent doesn't change it back lol

Both assessments and treatments are within the majority of medical professional scope of practice. So if an actual assessment was completed, then that means the person now has a medical record. That record is kept according to the rules of your college, or governing body.
Also a counsellor… I take some notes and keep them on file.. sometimes those people come back down the road. But I don’t think you strictly have to keep them in this scenario.

Try going into the insurance policy. Clicking all the appointments you want to group together (they should turn blue) and then 3 yellow buttons will pop up at the top of the list, one of which is “Group Selected”. Click on that and they will all go together.

Hi all, I'd like to be able to send multiple "surveys" (e.g. PHQ & the GAD). I can send them one at a time, but I'd rather a client only get one email/text with multiple questionnaires within that. I've tried searching this site and the guide site. I'm sure it's an easy thing, I simply can't find it!

You should have gotten a link to download a form from Stripe. Check with Jane if you didn't/lost it.
You can see all the fees charged in the "Jane Payments Transactions" report. But I believe stripe also provides a tax form with all of the information

You can have everyone at the same location and all separate banking information. We use stripe and each practitioner has their own stripe account and it goes directly into their bank account.

When a patient cancels and you want to send a reminder email to reschedule what is the best way to do this? I want to send the email a week after they cancelled to remind them to call us not right when they canceled.
Scroll down to Return Visit Reminders, select the date you want to send an email to them. You can also fill in the Practitioner, date and type of appointment.
I do this right away. If you cancel, it should pop up to send a reminder.

We set up profiles for the parent and the child. This allows both accounts to receive notifications and intake forms, and if a payment method is being stored, it can be placed in the parents account with permissions setting turned on.
A previous (female) patient has changed their gender identity from female to a non-binary name. Whilst I need to keep their original medical notes under their original (female) name, do I now register their new non-binary name under 'preferred name' and if so, do their reminders subsequently go out as their 'preferred name' or their original 'first name'? Is anyone a sole provider with just one NPI, an individual and not a group trying to bill Triwest with EDI files? I would love to know how you worked around the NPI issue that I seem to keep getting - rejected files due to NPI Billing matching the Rendering, and there is no way for me to not include a rendering NPI through the Staff Billing settings. I use a different browser (edge) for patient use instead of chrome so they don't have access to saved passwords if more tabs get opened accidentally or on purpose. Also does not save my autofills

Hello! Canadian PT clinic here. I changed my rates for 2024 and just happened to check my schedules for Dec 2023…and they had all 2024 rates. As this messes with accurate sales / compensation numbers I was quite surprised. Am I missing something? Is there a way to “close off” a date range for rates? I found a work around, but it’s a pain. Following. Same thing happens btw if you change your associates/clinicians compensation percentages/splits, it automatically changes all their previous compensation report data, which I think is totally not good at all as it’s inaccurate.

First let me say I love most things about Jane but does anyone else dislike the way it amends a note? Is there a better way to edit a mistake as simple as a grammatical or spelling error? I understand it needs to be documented somehow that it was altered after being signed but it makes for a redundant and ugly note if you go back to fix something.
I usually just duplicate the note and fix it and delete the original one with the mistake. Depending on the time frame of when I originally wrote it. (If it’s the same day) vs. If it’s a different day I’ll just amend it within the original note.

I currently have 90 min appointment options that I am discontinuing in March. I want to take them off the online booking option BUT want the current people who are booked in for a 90 to still be able to reschedule before March if needed via the online schedule. How should I reflect this? Different shifts starting in March without 90 being an option?

My work around for this is to take money as credit and then charge the correct amount for each treatment. That correct amount will be reflected in the super bill. Call Jane. They will walk you through it.

Hi all! If I want to change ICD10 codes for a Medicare patient for 2 or more previous visits, is there a way to change it once and apply to multiple visits? Or do I need to go in and change each visit? FYI: We switched to JANE in Oct and I do not have all the codes quite right for Medicare HCFAs and we want to bill out soon, so trying to double check these and fix as needed but without editing each individual visit. you will have to change each visit. remove policy with old codes then reattach policy after you’ve update codes in billing section.

Hello, our practice just switched over from ChiroTouch to Jane at the first of the year. I have ETF payments that need to be split between both softwares because it has dates of service are from both December and January. Is there a way to manually enter the ETF payment without it being recorded as a "check" for the dates of service in January.

Emails can be tracked which is how you get that information.

Since you have the insurance version, you just have to click "add policy" on the side bar in the insurance info section. Then you can copy the codes from the previous visit.

Patients think that the appointment date/time is reserved for them when they have to log into their account and click and select it. Hello, Multidisciplinary clinic owner in Canada (ON)- how do you set up charts visibility for your providers? Especially, if not all of them are registered health providers?
When using treatment plans, and setting the number of appointments, when I put items in there, I may have an exam that I did on the same day as a treatment, and those are two separate notes. The system counts that as two separate items, and not as one appointment. Am I doing something wrong?

There are adjustment codes you can apply during payment. You can set them to what you’d like them to be. I’m not sure about codes clients would apply.
I wish this feature existed like it does in others!!! Then, too, if they had "coupon codes" or "gift certificate codes" they could be applied during booking. It would be sooooooo helpful. I miss that feature from my former system.

Hi! I see patients every half hour (top of the hour or bottom) but I now have another provider who has services ranging from 30-45 mins.
I asked Jane about this in a phone call last week. Their answer was “at this time, only one schedule grid per practice/account”. They are aware that we would like to be able to utilize different schedules grids for different disciplines. Maybe they’ll have an update soon.

We’ve just tried for the second time to use Jane terminal and are having problems. The first time it didn’t work was because our Internet wasn’t good enough and now we’ve increased our Internet and have a different machine (still Jane) and it worked for a day and a half and now it won’t connect with JaneApp at all. Internet is at 100% showing all bars but we keep getting a red bar across the top of our computer screen saying that the terminal is not communicating I’ve been on… See more
That problem cleared up when I ordered a dedicated IP from my internet provider. It cost an additional $30 per month. Your internet uses several IPs at a time and your terminal sees your machine as being on another network and so refuses to connect.
I just had this issue. I just went back and hit pay until it connected and came up on the terminal. I think there’s just a lag sometimes
Hey! Wonder if anyone has had this issue: Jane messages are not getting through to the client even though they were a year ago with same email. Now all email messages say “complaint” instead of “sent” or “delivered” I can’t even send the verify email message because it won’t send, can’t send invoice, reminders etc. Client’s email works fine otherwise is just with Jane. If it says complaint, patient has flagged your email as spam.
And you have to get permission from patient in writing for Jane to unblock at their end.
Love the card on file, I can run payment smoothly and parents especially like it for when their children come in without them. Our book keeper likes that the fees are debited each transaction vs one big one every month.

I actually suggested to my office to have 3-5 copies, printed on card stock and laminated so you can erase the info once it’s inputted but reduce paper use.
laminated is definitely the way to go - I used to do this for outcome measures when i worked mobile.

I think what you’re looking for is in Reports>Patient List. You can generate a list of patients booked in for a specific date range. That list will have their phone number and email. Unfortunately, it doesn’t seem to list actual appt date and time though

It’s unclear what you mean but you can make your shifts start or end at any time you want. You can create shifts for any duration and start time or even use a break to block something off if you want.
Is their a way to allow certain types of appointments (i.e. new patient) to only book online during certain times of the day. We allow new patients two times in the am and two in the pm.

Is there a way to prevent a patient from booking 2 appointments at the same time with different practitioners? Even though we have clear instructions on our website patients keep booking appointments for others under their own name instead of booking under the appropriate patient name. This leads to trouble since intake forms are not getting done.
Discuss with the patient that this isn’t allowed. I suspect this is a very rare occurrence. I’d also be very curious as to what’s prompting them to want to do this… wait times? Misunderstanding? Accidental?
We get this occasionally. Very 'helpfully' they put in the comments "this appointment is for my spouse/son/daughter/mother/etc."

I do QuickBooks payroll. We have 8 people on staff. It’s a pain but takes only about 45 minutes. We use google sheets for time cards.

When they pay online it will store the card to their account anyway I believe.

For sections I use in multiple forms, I save it as a template. Then I add that template to another template and can use it there.
You would just add a template to a template and remove any small sections you don’t want.
So, randomly, all of our intake forms got changed to "All Appointments" and so new patients are getting 6 copies of intake forms (adult, pediatric, prenatal, postpartum, animal, etc...)
Not all of mine, but the most recently edited one did. taught a class to a group of 9 other therapists on transitioning infants to solids and they all got “babywearing consult” as their intake form. Which was funny but also embarrassing

Have you reviewed the guide for supervisor sign off? If a provider’s permissions is set to “limited access” the supervising provider needs to be another permission higher. Like “practitioner (front desk)”

I don't know why all of a sudden, the allowed amount is trumping the copay I have entered. It only shows the allowed amount as patient responsibility instead of the copay. I did not change anything from last year. Any ideas?
you cannot collect more than the allowed amount, even if the copay is higher.
In these cases we just type the full allowed amount as the co pay instead of their true co pay because you cannot collect more than the allowed amount. It’s a weird one to explain to patients when they ask.

Create it as a product, or create several products to capture various rates/times to complete letters, then make a bill of sale with the correct amount.
If I have two locations but the same Practitioner for each location, if someone books in one location will it automatically block off that time in the other location?
Nope, Jane treats that as two separate schedules and there isn’t a link between the two when set up as individual clinics
No, unfortunately. Every time I’m notified of scheduling at one I go in and make a break for that time at the other location. I live in fear of two people scheduling for roughly the same time in both locations.
Hey all! I'm a newbie with Jane. I switched from Simple Practice. So far there some things I love about Jane but so many of my clients hate it. I'm thinking of switching back to Simple Practice because it has more of what I need from an EHR as a therapist. Does it create a new column outside your shift? So on said day, you have a blue "shift" column, and a "new" white one is created with the rescheduled appointment? if so, try creating a tag with the room shift and appointment to see if it forces it to the shift column.

Re Insurance Policies that are in the “Awaiting Review” state (after patients complete Intake Forms and submit insurance info) …. Is there a way to be notified each time a policy has been patient-created and in need of review? I can’t find a report that could be run to provide this and the “Insurance Policy” report can’t be filtered by “Status” (unless exported and sorted, which is not difficult, but rather inefficient as a way of determining *if* one needs review). New to Jane When I subscribe to/integrate with Google Calendar my Jane appointments show up initially, but new appts after that aren't syncing. Anyone else have this problem and found a solution? TIA.
This is a Google issue. Google updated synced calendars like once every 20 hours.
You can use whatever system you want. You’d take payment on it and then manually log it in Jane. Not integrated.

You can customize your notes however you want them. It may take a little work it once it is done it’s amazing ! I tweak my paperwork every once in a a while and it’s so easy.

Hi all, I’m an RP in Ontario & recently started seeing clients from B.C. virtually. Does anyone know if I need to adjust the taxes accordingly? (Ie. Remove HST & charge PST/GST). And if so, does anyone know how to set this up in Jane?

Check under account settings. There is a spot there for clinic email. That may be where it is hiding

You need to upload a signature under your staff profile. It doesn’t show on the chart entry but is added whenever a PDF of a chart is created
Does anyone else have a problem with discharged clients still showing up on their client list? My client list has mostly discharged clients, many of them from several years ago, while new clients that I am seeing regularly do not show up on the list, I have to search for them.

Have you gone into Edit/Settings on the client and selected the discharged box? That should remove them from your active patient list.

Hi all - I'm setting up Google reviews for Jane. Has anyone had an issue with your Google place ID not linking to your google business profile? In my case, it is linking to the real estate listings for the address of the building that I rent from. No idea where to begin with getting this resolved. Does Jane charge patients random fees when filling out paperwork and putting their card on file? I’ve had several people call in because their bank is flagging their cards. The transactions are less than a dollar. Any ideas/thoughts on what I can tell those who are being affected?
They do. They test to see if it’s a working card. We tell our clients that if they get a call about a transaction with the name “Jane” they can approve it and no money will be charged without their consent
Usually things like that are to verify it’s working and then the exact dollar value is refunded back to them right away

For the stripe users- Is there a way to prevent admin staff from using Stripe as a payment option? We do not store credit cards on file unless a patient has set up Stripe payments on their Jane account. This really only occurs if someone pays a deposit when making a new patient booking online. When accepting a payment today, we accidentally clicked on stripe instead of HICAPS and the patient's card was automatically charged vs recording the benefit payment from their health… See more

Yeah. There’s a notorious lag in syncing. Sometimes more than a day. I contacted Jane and they basically said that it’s a Google problem and there’s nothing they can do. If you’re an iPhone user it syncs better using iCal
It's also an issue with at least Jane and MindBody, which we had previously. It seems to me it is the nature of the sync-- it's only done occasionally, not constantly. It's good enough for me to get a sense of my day, from my GCal, but I wouldn't count on it.
Any recommendations for a virtual VA that can help me streamline my processes, Google calendar, calendly, payments etc. (I also do contract work for someone that uses practice better, that's why I seem to have so many platforms). It may just be setting these processes up in a smooth way but could expand into regular VA work. I haven't used this system, but it sounds like your client might have denied the permissions to the device audio by mistake. If they go to app permissions in settings, they should be able to reset it.

Hi there! Need help with SOAP notes from Vagaro. Background: Used Jane for a chiropractic practice for quite some time and LOVE it! We are in the process of integrating a massage practice that uses Vagaro. We’ve imported the patient files, appointments, appointment history, treatments, staff profiles from Vagaro to Jane. The goal is to eventually phase out of Vagaro and use Jane exclusively for the combined chiropractic and massage practice.

I believe it should. Stipe doesn't charge monthly fees, rather take a percent straight off the top of every transaction process. Pretty high transaction fee I might add.

I have a couples counselling question. I have clients book in and attend for couples counselling, but they are just booked in as "in person" under their name. Is there a way to add their partners name to the receipt?
You can also just click the invoice on their profile and type in the partner’s name under the details section

Our booking page redirects to staff member as its home page. How would I change this or is this default if have not yet added team?
It seems clients are not seeing available appointments and looking like I am not open. how can this be changed? When I was checking a link to add a landing page, 100% of my time states I am not available to provide the service. When hitting on different disaplines I get a few different options. But the options are pretty nuts. like 7 am when I have time at night or in the mid morning.

Are you in Canada? I’m with Square as well and they charge 2.65% for all credit card transactions (as long as card is present.) They used to charge 10 cents per debit, but it’s now 0.75% + $0.07.
Jane is 2.65% for credit cards at terminal. 2.75% I believe if online, and .10$ for debits. It is very seamless, they get deposited 2 days later into your account.
I am having trouble getting my place ID (PID) to work to ask for the Google review in Jane. I found the PID but it links to an error page on Google when previewed. Additionally, my google business page is verified and active, but my clinic name doesn’t populate in the search field under the Jane Ratings section. Anyone have any tips?

Question regarding canceling an appointment - so how does this "other" reason work? I typed in "snow day" as the reason, as it's pretty bad out there. However, this doesn't go out to the client. And doesn't even save anywhere in the system. How is it supposed to work and be saved on the file?

I think it's just for reports. Click on reports-appointments and filter by cancel. From there you can see the reasons.
I sometimes need patients to upload document like path reports etc and also send me photos (I’m dermatology). I don’t see this as an option in Jane. Has anyone figured out a work around?
In our clinic, we just take a photo of the paper chart and upload it to their electronic chart in Jane. 
If you have HIPAA secure email.... they could send it that way and you can add it to files in Jane

Jane app developers, please for 2024 develop a way for the online booking to be able to shut off at a certain cap for the day (say 90% filled it turns off). Patients love the online booking but our staff can't keep up much longer with the booking filling the schedule almost every day. It's a good problem to have but the auto shut off would help, or even have a contact to book option without times listed. Signed two burnt out docs.
Not sure if this will help or not but what about entering ‘breaks’ for the 10% and then you can remove them if you wanted them to fill.

Is there anything in the works for variable times for appointments? Our sessions list is so long because every type of appointment we have has increments of 15 minutes. I would LOVE it if I could designate how long the session is when I am booking the appointment. Sometimes we do therapy for 30 minutes, sometimes its a two hour session. Why isnt the waistlist notifying all the people on the wait list? I’ve done a fake cancellation to trigger the waitlist and it’s only sending a notification to one of the three people on the list and they’re all listed for the same amount of time for the same type of appointment .
They have to be signed up for it. Make sure to check profile of those on waitlist and see if the box to receive notifications is checked.

I work with couples and use the Add a Relationship feature to ensure that they both get notifications of session bookings etc. But one client says that although he gets the emails he does not get the texts even though he has selected this option for notifications when his partner books a session for them. Currently we can only have one cell phone added, which would be why he's not getting texts about appointments. There's nothing to be done about that as of right now.

Jane has not started on developing a 2-way texting feature. It’s not on their road map. It’s quite infuriating. We use Reviewwave and upload the schedule as a csv file every night.
Can you search for a patient by their ID number?! When I type in a number, like 400 options pop up because the number is so small. Help?

What would the month view enable you to do that you can’t do currently? The month view doesn’t show much if you see more than 1-3 patients per day.
Maybe just a number on each day of how many appointments are booked? Or how many are available? Rather than trying to put names for all appointments. One of my old EMR systems would show how many slots were available per day..

Hey everyone! We’re considering switching to Claim MD from Office Ally since Jane will now be integrating with Claim MD.
As a long time OA user I recently started uses Claim MD. One of my client providers uses OA and one uses Claim MD and I have to say I like the functionality of Claim MD way better.
We use OA and our outstanding A/R is so low. We have very few claim rejects. I think if staff enter correctly, no problems. We are all commercial insurance.
I processed a client’s payment transaction and the invoice was emailed to them and now they are asking if I can change the name on the invoice so they can use their partners benefit package to get reimbursed. Does anyone know how I can adjust the invoice to a different name? It was couples therapy. Both attended all sessions.

The service was given to both husband and wife. We used her benefit package first, but now it needs to be his benefit package. However, the “client” profile is only her name. So I wonder if there is a way to change the old invoice.

I'm wondering how others do this. I direct bill NIHB and another private pay provider. Is there a way to separate NIHB and client pay appointments. Example, a client has NIHB AND private insurance. When their NIHB is used up they switch to their private pay. It sometimes gets confusing to know which is which. When I worked in dentistry many moons ago the software would put "assignment" billing into a different column than the private pay. Hope this makes sense...

Have I lost my mind, or did Jane change something with the emailed receipts? I used to select - email receipt - at check out, and then the receipt was right there in the email. Go to Billing Settings I believe and there should be something about hiding patient info from financial emails. Uncheck the box and it should send PDFs not the portal link.

It’s where you’ve double/triple clicked so it started to create and appt but then you clicked again and created another appt. I run into this if I’m using my phone as it can be quite finicky. I don’t have the same issue with I’m on my computer.
I love 2 factor authentication for everything, but we’re really struggling with having to deal with codes and texts in front of patients. We operate a very busy practice, and we use TONS of different devices. It’s just not working for us. Anyone have tips? How awful is it if we DON’T utilize this? Not sure where to go from here, but it’s just not practical for us.
Of course you could choose not to use it but it certainly is more secure to do so. A patient data breach could cost your practice much much more than if your bank account was illegally accessed and drained and you probably have two factor authentication for that.

If you have a 24 cancelation policy turned on in Jane, clients can not self cancel their appts if within that late cancel period. They need to reach out to the office to have their appt modified and then staff would need to process any late cancellation charges.
Is there a way to allow some people to schedule on line and not others? We don't use the on line schedule, but I have someone who would really like to use it.

Letter of protection is a great idea, also get a claim policy signed by the patient saying they are responsible for payment if it's not paid.

Jane is not an accounting software. Use Quickbooks or Wave. What matters is what hits your bank account. In Jane you need to run a report for sales tax and for transaction fees, but not much more than that

Has anyone else noticed that your chart notes are not getting saved sometimes ? I normally type on my phone when in the treatment room and continue on my desktop later. But, lately, a few times nothing got saved in either place and I had to retype everything. It is very annoying, especially with new assessments when you have gathered all the subjective info.
We always just run it as a chiropractic appt, as it's our chiro's that do the dry needling in our clinic.

Has anyone ever had a chart entry show as post dated before client was in ? I had a patient in on January 6th and her follow up was on Jan 12th . I did her chart entry on the 12th . Normally when I do a chart it defaults to the date I am doing the chart entry but I noticed after it future dated to the next day
Regarding Forms - When I have a prenatal patient they receive a general intake form and a separate prenatal form. When the patient receives this in their email bot forms look exactly the same and simply say 'Intake Form' so often times the patient only completes one of the forms and then we have to take time for the second to be completed in the office. Is there any way to change what appears in the emails that the patient receives?
You would do better to create 2 different intake appointments and then assign the forms to the appointment. Also, keep the prenatal form separate so you can send it to a patient that becomes pregnant.
I have just brought on multiple staff who each offer services at different price points. I set up their sessions offered under the shared sessions. Is there way besides setting up adjustments for each staff to change the price points for each staff?

Does anyone have a system how they check that your Jane transactions equal your sales, transactions equals your payouts and that payouts equal your deposits? I’m thinking a spreadsheet but I don’t know how to set it up to do the math, since I may not receive payouts for days after the sale.
The way I check is by logging into my stripe, but if someone has a faster way I am here to learn.

Needs to be for upcoming appointments not past. Make sure in patients profile that they are set to receive waitlist notifications as well.

if you’re using online booking, go to your settings and make it a requirement. if you’re booking in person or over the phone, collect the info at the time the appt is made. right now you can’t do much until the appt, since it’s already scheduled.
Since you didn’t already set it up for them to be required to input it before making the appt, you now ask them at the visit when they’re paying. If you have a terminal, you can input it through there. Or input it manually into their account.
Is it just me or does the EMR allow patients to have the same patient number? Is there any way to prevent this? Also does anyone remember where I can change the settings to start numbering at a certain number?

People might set up a profile but then not go through with booking an appointment.
You don’t get notified when someone makes a profile. They made it and didn’t book.
Has anyone sent out a cancelation policy when patients are booked? If they do not fill out the intake form consenting to the cancelation policy with a credit card on file has anyone received payment from them?? Or a patient could say I didn't know about late cancelation. Because they didn't do the intake form. Have clinics made a note in their welcome email that states the cancelation policy to cover the clinic so you know the patient was aware if they open that email?
our cancellation policy is right on our online booking site. we require a $50 deposit to hold a new patient slot, which is non refundable in the event of LC/NCNS. 99% of our new patients are scheduled over the phone so we go over the policy at that time.

Those that are using the claims/md to jane app integration, how is it working? Does it notify you if there is an issue with the claim or payment? We currently are looking into it as our current billing manager is really having a hard time with jane (our current clearinghouse is office ally) and it's costing us a lot of money because of some internal issues with staff. We just switched from Trizetto and the rejections are so much easier to deal with. Getting going is way slower than then said with moving things to claim md but it’s been going well

I’m trying to use reports to find an accurate price per service / price per patient by month for 2023. I’m hoping there is something simple I’m just missing. Could anyone share their process with me? Thanks!
For medicare should i have the box clicked that says treat CPT units as separate line items? Also, everytime I put in the payer id I save it. Then if I go back in to look at it through editing there is no payor id.
Here is what ours is built as under Insurers and we get paid out no problem.

Wait I didn't know no show visits were counted in the visit total with insurance! That seems wrong!
Products and sessions being lumped under "# of sessions for insurance" is really annoying and misleading when try to check how many sessions are left at a glance.
I'm in Ontario and wondering how the custodian of files applies to Jane EMR? If I ever decide to stop using Jane, do I remain the custodian and have to keep files for 10 years with my own storage or is Jane responsible for that?
You are responsible for your charts. You can keep paying for Jane or you can export your files to pdf when you stop practicing.
Hi all! For those who are enrolled, non-par Medicare providers, how are you balancing the ledger in Jane? We have a Chiropractic Treatment | Medicare-specific appointment that has our regular fee attached (ex. $60, because we also have Medicare adv) and then an adjustment for the allowed amount ($43.23 for this year). Have you tried changing the allowed amount of the billing code? If you go to settings then billing codes and add 98941 (is what I assume your using) you can change medicare allowable to $43.23. As long as the 98941 (or whatever code you use) and medica… See more

Is there a way to cluster appointments through online booking for specific days? For example, have clustering available on certain days to avoid gaps between patients; especially on weekends.

Hi..I’m having trouble figuring out how to block one of our providers from any new patient consults/appts, yet still allow her current caseload to book their appointments. We’re trying to push all new patients to our new hires.
Go into their staff profile, then “sessions, classes, and group appts” and just toggle off the appt type you don’t want for them.
I have been hesitant to not use Jane payments because our current credit card system is significantly cheaper. However, this means that we cannot ask for credit card numbers on the intake form we send through Jane (jane blurs the numbers out as a security feature). Does anyone else use a different system for credit cards? How do you manage to collect the info on your intake / cancellation forms? What is your process for using Jane for everything else but a seperate credit card system?
While the cost associated with Jane payments is higher I also believe our collections/revenues have increase overall and our front desk staff really find it much faster and simpler processing payments.
we use costco for in office payments, also take payments over the phone - but allow people to put a cc on file & charge it if asked or for now show/late cancellations. that way the vast majority are going through our costco cc & a few monthly go through Jane.
New to jane for this tax year. Accountant asked for monthly billing reports. Is there a way to do this without client names?
Yes, there is a box to check at the top of the screen (the area you select your date range, etc). If you check the box it will hide the names.
You do it yourself: download the report to excel, then delete the column with names. It’s easy. Then share with your accountant

We use Google chat! HIPAA compliant with the Google workspace plan. We only use it for time sensitive things. Everything else is categorized in a database CRM
We use Skype to message each other, the Drs will send us a quick message while the patient is checking out
Is it poss to access compensation for inactive staff? Do I need to go in to activate them to do so?
You need to activate their profile but just ensure online booking is off and no access in permissions.
Any chance that Jane could integrate with upc/bar code readers to help with inventory?
I don't currently use one or do inventory in Jane. However, I have used one in the past.
If you add the UPC # to the product name it should work. I did that in another EMR.
We send out monthly statements for the previous month. If someone needs to pay their balance for December’s appointments, is there a way to send them a statement and link to pay for only those appointments and not ones that have happened in January? These seems like a basic feature but I cannot figure it out.
We go to the patient’s billing/purchases screen and highlight the specific dates we want to send a statement for. It can then be emailed or mailed. I then go to their profile screen and set up a BILLING note with the date sent and the amount billed. … See more
I don’t think it’s possible. We have about 98% of patients with cards of file if not more which really helps with A/R! Especially end of year. Highly recommend you move toward this for 2024! and collecting at time of service is hugeeeeee. We only don’… See more

Can someone clarify, if you make a child profile and attach their parents profile to it and grant all the privileges to schedule, fill out paperwork, receive notifications. But you don't input the parent's phone number or email, shouldn't they receive notifications anyways because their profiles are linked? All the messages say that there is a "bad recipient" and the patient didn't get notification of their appointments or to fill out paperwork prior. WHICH IS A HUGE PROB… See more
I think it still needs a main email address in the actual patients file to be able to send things to, since it’s for them. The relationship just means that person also has access to it, it’s not sent to them
How would they receive the notifications if not by email or text? You just include this information for the parents. Then it works smoothly.
A single link used to work well when both parents were signing in from different locations and devices. In the last few weeks, I’ve run into technical issues. Only one parent is able to sign in and the other won’t connect to video or audio. I’m wondering if the new group call feature is necessary for me to add-on? Has jane disabled different participants from using the same link? It used to work well before and is no longer working. Thank you!
The regular virtual link is technically supposed to be for 1 sign-on which may be why they are having issues.
I am trying to set up billing for medicare. It only gives me a spot for a copay dollar amount and nowehere to put the 80% copay. Any help would be appreciated!
it’s supposed to be 20% coinsurance. it’s the box on the bottom. You have copay deductible and coinsurance choices.
You have to go into the patient's insurance profile, scroll all the way down, and there are options for copay, coinsurance, and deductable.
